Management Tip: The (Surprising) Trouble With Technology

While it’s of course a foregone conclusion that technology has been a boon to management, the somewhat surprising reality is that it can cause management problems too.

These were the findings of a new management survey from Randstad US, which examines the impact of technology in the workplace.

From a management perspective, there are three main issues I felt the study raised. When you think about these issues, they’re actually not too surprising; they’re natural unintended consequences of using tools that have tremendous benefits but actually dull some of our managerial instincts. If we’re not careful.

Let’s consider three key findings.

The use of digital communications to handle conflict. Instead of managing the conflict in person, or at least by phone. This is a substantive issue. In the survey, 56% of managers said they use digital methods to deal with work conflicts “instead of discussing the situation in person or over the phone.” Effectively resolving conflict is arguably one of the most important (and least pleasant) leadership skills. If we don’t occasionally exercise our conflict-resolution muscles, they won’t be strong. And conflict-avoidance is an entirely natural but unproductive management (and human) tendency. By hiding behind emails or texts to address problems, you’re not only partly shirking your job as a manager, but you’re also missing the potentially productive conversational give-and-take that can occur during a serious emotional discussion.

It encourages immediate action over more strategic thinking. Again, not overly surprising when you think of how technology can influence behavior. With a few clicks it’s all to easy to send a message out, or back. Not exactly a lot of time for thoughtful reflection. According to the study, 79% of managers feel technology “encourages immediate action.” While a bias toward action can often be a good thing in management, too much of it without much thought behind it isn’t optimal either. I know in my years in corporate management I felt pressure (sometimes that I placed on myself) to respond to messages by the end of the day. I’d often zip through emails and voicemails just to “clear the decks.” Were my responses very “strategic”? Well, I’m sure they occasionally were. But one thing they almost always were? Fast.

Personal use at work. Last but not least – and this is less an issue of dulling management instincts than of creating problems (temptations?) for management to deal with. Nearly half (47%) of Gen Z survey respondents admit to texting in meetings, and 60% of Gen Z respondents say they “use technology for personal reasons during the workday” (compared to 22% of Baby Boomers). In other words, these are potential productivity problems that management has to be diligently vigilant about, and have proper monitoring capabilities in place. I well remember a circumstance from back in my corporate days when a bright young employee whom I quite liked in a nearby department was found to have made something like 25,000 non-business website visits over a several-month span. As I recall, he was quickly shown the door.

The Trouble With Technology

Technology is going be one of the greatest challenges facing leaders over the coming years. Not in the histrionic way that expensive consultancies love to talk about it – “If your company doesn’t bring about comprehensive digital transformation this instant and appoint a robot to the board, it’s going to be overtaken by rodents” – but in a far duller, yet far more pervasive way, which humans are only just beginning to wrestle with.

I describe this dull, but pervasive, problem as “systems fatigue.” I would like to think that I was first to coin the term, but I know that’s unlikely. It’s incredibly difficult to be original. If I Googled it – I haven’t because I don’t want to shatter my own illusions – I would no doubt find that countless people are already discussing it all over the web.

What is systems fatigue?

Systems fatigue relates to the idea that technology is evolving at a rate that humans cannot keep up with, but it goes a stage further by implying that it will ultimately wear us out. Take a straightforward example. Passwords. When passwords began, we probably had a single password that we used on every website, which was simple and easy to remember – often the name of our child or pet. Next, companies started getting hacked and forcing us to make our passwords longer and more complicated – throw in a number here, a special digit there. Then, of course, we ended up having to change our passwords for different sites at different times, with the result that we ended up losing all track of which passwords we had created. The upshot is that logging in to anything these days is like breaking the Enigma code.

Now, we are even advised – by our computers, who else? – to use utterly immemorable “strong codes” every time we log in. Only someone who is a mathematical genius would ever be able to remember one of these things. That is why they are very effective, of course, because they sensibly remove emotional, predictable and pet-loving humans from the password-setting processes. But what happens next time we want to log into our account? Before we can access it, we face a long, wearisome journey, involving a password reset link, and possibly identity questions (note that one of the questions will probably be about the name of your first pet rather than the model of your first cell phone). In future, we will undoubtedly have to go through the same process over and over again because we can never remember that despicable password. No wonder we’re feeling fatigued.

Of course, some people (or algorithms, depending on who you ask) will say that the answer to the problem is biometrics. Use your thumbprint and all will good. But what happens when you can’t remember if you used your thumb or your forefinger, from your left or right hand, to set your ID and you try them all in any case, but the computer still doesn’t like them?

Also, it’s one thing to use systems. But what happens when we actually have to start managing them – properly, I mean? Data regulation rules in Europe mean that we’re already held responsible for data in ways that most of us haven’t even got our heads around yet. So, what’s going to happen once we’re actually in charge of our own algorithms and cobots? Today, there’s a lot of hysteria around algorithms and cobots taking our jobs. What we should actually fear is having jobs where we are personally held responsible for what the wretched things get up to. The prospect is terrifying. No one wants to end up in prison because they were in charge of a malfunctioning cobot that messed up the lights at a busy traffic intersection in a smart city, leading to a tragic loss of life.

I predict that we will see:

1. Talented knowledge workers turning their backs on jobs and careers that involve anything but the most limited interaction with technology.

2. An increase in wi-fi-free areas – people will deliberately seek out vacation destinations where there is absolutely no chance of anyone, or anything, using technology to get in touch.

3. A rise in the number of people being signed off work with technology-related stress because they cannot keep up with the new systems that are being imposed on them and do not want responsibility for algorithms that they can neither understand nor control.

4. More rules around when and where we are allowed to communicate with other people using technology. France has already led the way in this with its labor law that gives employees the right to disconnect from email once their working day has ended.

Pahela Baishakh is observed with traditional festivity as a part of our national culture. This year Pahela Baishakh was observed on Sunday, the 14 of April. I observed the day with a lot of fun and amusement.

I got up early in the morning and went to Ramna Batamul with my friends. As usual, Chhayanat, a leading cultural organization of the country arranged colourful programme of songs and dance. I was feeling happy and excited to be a part of a large number of people male and female attending the function in colorful dresses. There are small stalls of watered rice with Hilisha fish. I visited one of them and had a plate of it. I also excited to see the students and teachers of the institute of Fine Arts Of Dhaka University who brought out a colourful procession at 9:30 am. They carried festoons,placards,posters and banners wearing masks to welcome the Bangla new year. We joined the procession up to the Press Club.

I spent the whole day enjoying various other activities. I joined a discussion meeting followed by a cultural function. Our teacher and eminent college spoke on the occasion. I recited a poem of Rabindranath Tagore and won a much applause. At sunset our college building was illuminated with candle lights. Different cultural organisations such as Bangla Academy, Bangladesh Shilpakala Academy, Bangladesh National Museum arranged literary and cultural programmes. National dailies brought out special supplements and BTV, ATN, NTV, Chanal I, RTV, Baishakhi, Bangladesh Betar etc aired special programmes. I enjoyed these programmes with the members of my family at night.

Pahela Baishakh is the day of festivity and joy in which all the Bengali’s join. They feel akin to one single spirit i ,e.the Bengali identity and culture. I think that Pahela Baishakh is an important day for us to stand together and work unitedly for a common goal i,e.a beautiful and prosperous Bangladesh.
